What it does
Seven moments start a Zap
New Booking, Booking Moved, Booking Cancelled, New Callback Request, Call Completed, New Booking Request and New Contact. Each arrives with the details a spreadsheet or a CRM needs, your business’s timezone, and a link straight to it in your dashboard.
Zaps can write back
Create or Update Contact matches on phone number or email and fills in only what that contact was missing, so a lead from your website form does not become a second copy of somebody who already called. Create Callback Request puts a name, a number and a reason in your callbacks queue for the team to ring back. Find Contact looks a person up first. Nothing a Zap writes starts another Zap.
Testing uses your own data
When you test a trigger, Zapier is shown your most recent real bookings, calls or contacts, so the fields you map are the fields your Zap receives. Before you have any, it shows a sample shaped exactly like the real thing.
Every delivery is signed
Harkbell signs each event it sends to a Zap, and the app checks the signature before the Zap runs, so a post to your Zap’s address from anyone else is ignored.
One key, and you can take it back
The connection uses an API key that belongs to your business, not to a person. Revoke it in Harkbell and every Zap using it stops at once, and a key created by somebody who leaves your team, or stops being an owner or admin, is revoked with them.
Turning it on
- In Harkbell, open Settings → Developers, create a key under API keys, and copy it. It is shown once.
- Email hello@harkbell.com for the invite link to Harkbell’s Zapier app, and accept it in your Zapier account.
- Paste the key when Zapier asks you to connect Harkbell.
- Choose a trigger such as New Booking, test it, and map its fields into the next step of your Zap.

What this actually takes
- A Zapier account.
- An owner or admin of your Harkbell workspace, to create the API key.
- Any Harkbell plan, the free one included.
- For Zapier’s own Webhooks by Zapier trigger instead of Harkbell’s app: a paid Zapier plan. Zapier does not include webhooks on its free plan.

What it will never do
- Send a call’s recording or transcript. A finished call arrives with who, when, how long and a short summary, and a link to read the rest in your dashboard.
- Send the one-tap link that confirms a booking request. That link confirms a booking without logging in, so it never leaves Harkbell.
- Recreate somebody you erased. An erased person is never sent to a Zap and never brought back by one.
- Start a Zap for every row of a contact list you import.
- Move or cancel a booking from a Zap. Changing the diary stays with you, your team and your receptionist.
Questions people ask about this one
Should I use Harkbell’s app or Webhooks by Zapier?
Harkbell’s app, if you can. It names the eight events, tests with your own data once you have some, checks every signature, and can add contacts and callbacks back. Webhooks by Zapier needs a paid Zapier plan and receives whichever events you tick for the Webhook in Settings → Developers, so use it if you already build Zaps that way.
Why is Harkbell’s Zapier app shared by invite link?
Zapier reviews an app before listing it publicly, and until then an app is shared by invite link. It is the same app either way: the link adds it to your Zapier account.
What happens when I revoke the key?
Every Zap using it stops. Harkbell ends its triggers and tells Zapier, which pauses those Zaps, and its actions are refused. To start again, create a new key, reconnect Harkbell in Zapier, and turn each Zap back on.
How quickly does a Zap start?
Within seconds of Harkbell recording a booking, a callback or a contact. A finished call starts its Zap once the call has reached your dashboard.
