No booking software? It still takes the booking
Most businesses that miss calls do not run scheduling software. The agent takes a real, structured request and you confirm it with one tap.
One-tap requests
What it does
It captures what a booking actually needs
The service in the caller's own words, up to two windows that would suit them, their name and number, and their spoken consent to be contacted — recorded with the exact wording used, so there is evidence rather than an assumption.
You decide in one tap, from wherever you are
A notification and an email arrive with the request and a single-use link. Tap to confirm and the booking is created and the client told; decline and nobody is left waiting on an answer that never comes.
It never tells the caller they are booked
This is the line the whole flow is built around. A request is a request, the caller hears exactly which one they got, and nobody turns up on a day you never agreed to. It is the single most common way an AI receptionist embarrasses the business running it, and it is designed out rather than warned about.
Two requests for the same slot cannot both win
Confirmation is atomic. If two callers asked for Thursday at ten and you confirm both, the second one tells you the slot has gone rather than quietly double-booking you.
Add a diary later without losing anything
Connect Square, Calendly, Acuity or Vagaro whenever you are ready and the agent starts booking live. Your history stays exactly where it is.
A waiting request does not hold the time
The slot stays bookable until you confirm, because a request is not an appointment and no caller is going to be told an hour is gone on the strength of one. If somebody takes that time first, your confirmation comes back saying the slot has gone and the request waits for a different answer rather than quietly double-booking the chair. Unanswered, it lapses after a day — the default window, and yours to change — and the client was never told they were booked.
Requests are the business's route, not one service's
This is one choice for the whole business rather than one per service or one per chair. Connect Square, Calendly, Acuity or Vagaro and the agent books every service on your list into it; until you do, everything is a request. The one place the two meet is an outage: if the connected diary cannot be reached while somebody is on the phone, the agent takes a request instead of losing the caller, and you decide it exactly as you would any other.
Turning it on
- Nothing. This is how a new business works by default.
- Add your services and roughly how long each takes, so the agent knows what it is capturing.
- Turn on push notifications in Harkbell, if you want each request on your phone as well as in your email.
What this actually takes
- Nothing at all. This is the default, and it is why the product works for a business whose diary is a notebook by the till.
the part nobody else prints
What it will never do
- Confirm anything on your behalf. You are the diary, so you decide.
- Tell a caller a time is held. It is a request until you say otherwise, and the caller hears that in plain words.
- Let two confirmations land on the same slot.
Questions people ask about this one
Is this a worse experience for the caller?
It is an honest one, and it beats the alternative they actually had, which was voicemail. They are told clearly that you will confirm rather than that they are booked, so nobody turns up to a slot you never agreed to.
What if I never get round to confirming?
The request sits in your dashboard and the client has not been told they are booked, so nothing is broken — but nothing is won either. Most owners confirm within a few minutes, from the notification or the link in the email, because it is one tap.
